The Wellness Coordinator supports the work of the Y, a leading nonprofit charitable organization committed to strengthening the community through youth development, healthy living, and social responsibility. Reporting to the Wellness Director, this role is responsible for leading and growing programs that reflect the YMCA’s mission and serve community needs. This position includes direct supervision of Wellness Associates, Wellness Coaches, and other assigned staff, including hiring, onboarding, performance management, and disciplinary responsibilities, while managing program operations and departmental budgets, while ensuring a positive and high-quality experience for participants and managing program operations and wellness department budgets. The coordinator also builds partnerships with community organizations and supports outreach, marketing, and fundraising initiatives to strengthen engagement and impact.

Staff Development & Supervision

• Recruit, train, schedule, and support part-time staff and volunteers to build a strong, inclusive team.
• Recruit, hire, onboard, schedule, develop, evaluate, and retain Wellness Associates, Wellness Coaches, and other assigned wellness staff. Oversees the wellness and associate staff.
• Directly supervise Wellness Associates, Wellness Coaches, and other assigned staff, providing regular coaching, performance feedback, and development opportunities.
• Conduct performance evaluations and recommend compensation, advancement, disciplinary action, and termination decisions for assigned staff.
• Conduct regular observations, coaching to ensure safe and effective wellness programming and member engagement.
• Provide regular feedback and coaching to help staff grow and succeed.
• Motivate your team to meet goals and create a positive, mission-driven work culture.
• Exercise independent judgment in staffing decisions, scheduling, and day-to-day supervision of assigned wellness personnel.

Member Experience & Evaluation

• Build strong relationships with members, families, and staff through positive, responsive communication.
• Address questions and concerns in a timely and professional manner.
• Track program data to evaluate success, improve experiences, and celebrate progress.
• Maintain a flexible schedule, including evenings and weekends, to meet program and organizational needs.
• Responsible for new member wellness onboarding
• Conduct wellness consultations and fitness orientations to assist members in establishing and progressing toward healthy lifestyle goals.
• Provide basic exercise guidance and referrals to personal training, small group training, and YMCA wellness programs as appropriate.
• Monitor member experiences and wellness outcomes to improve engagement, retention, and program effectiveness.

Program Leadership & Delivery

• Maintain consistent daily presence in assigned programs to support quality, safety, and staff oversight, following branch-specific expectations for on-site coverage and visitation.
• Launch new programs and grow existing ones in alignment with strategic goals and participant interests.
• Coordinate facility use and logistics to support smooth program delivery and engaging events.
• Assist in the development, promotion, and evaluation of personal training, small group training, and specialty wellness programs.
• Support Evidence-Based Health Initiatives and Exercise is Medicine® related programs that improve community health outcomes.
• Lead or assist with seminars, workshops, and wellness education opportunities that promote healthy living and member engagement.
• Evaluate program effectiveness through participation trends, member feedback, and outcome measures, making recommendations for improvement.
• Identify equipment needs and communicate repair, replacement, and purchasing recommendations to branch leadership.

Community Engagement & Outreach

• Build partnerships with schools, nonprofits, and other organizations to strengthen program impact and visibility.
• Support outreach, marketing, and registration efforts to promote programs and ensure access for all.
• Represent the YMCA at health fairs, wellness events, community presentations, and outreach opportunities.
• Promote wellness programs through member communication, branch events, and community partnerships.

Fiscal Stewardship & Fundraising

• Develop and manage the wellness program budgets to meet financial goals and use resources responsibly related to the Wellness Coaching and associate staff.
• Monitor staffing levels, labor expenses, and program performance to support departmental financial and operational goals.
• Contribute to the YMCA Annual Campaign by leading volunteer teams, supporting fundraising events, and achieving an individual fundraising goal that advances the branch’s overall target.

Program Specific Essential Functions

• Develop and deliver high-quality wellness programs that foster member engagement, relationship-building, and skill development.
• Conduct fitness consultations, goal-setting sessions, and wellness check-ins as needed.
• Maintain awareness of participant safety and exercise technique while providing wellness floor support and staff oversight.
• Serve as a role model for healthy living and YMCA values through professional conduct and positive member engagement.
• Plan and implement wellness challenges and incentive programs to create a motivating and inclusive wellness floor environment.
• Manage applicable facility schedules as needed in coordination with member groups, wellness staff, youth programs, and association partners.
• Manage applicable sports leagues and pickup play, which may include: volleyball, basketball, pickleball, and racquetball.
• Support with Evidence-Based Health Initiatives (EBHI) to promote community health and member outcomes.
• Serve as a Personal Trainer and/or Small Group Trainer, Coach, or Group Exercise Instructor, supporting members in their fitness goals. Work on the Wellness Floor when staffing is needed.
• Participate in the Prisma Leadership Team, including opening, closing, and weekend shifts to build strong member relationships.

• Attend/complete required abuse risk management training
• Adhere to procedures related to managing high-risk activities and supervising consumers.
• Follow mandated reporting requirements.
• Adhere to job specific abuse risk management responsibilities.
  • Maintenance Employees-ensure unused rooms and closets remain locked; routinely monitor high-risk locations (locker-rooms and bathrooms), etc.
  • Front Desk Personnel- ensure consumers are properly signed in and out, ensure only authorized adults are allowed in the facility, etc. 
• Follow employees and volunteers screening requirements and use screening instruments to screen for abuse risk.
• Provide employees and volunteers with ongoing supervision and training related to abuse risk.
• Provide employees and volunteers with regular feedback regarding their boundaries with consumers.
• Require employees and volunteers to adhere to policies and procedures related to abuse risk.
• Respond quickly to policy and procedure violations using the organization’s progressive disciplinary procedures.
• Respond seriously and confidentially to reports of suspicious and inappropriate behaviors.
• Follow mandated reporting requirements.
• Communicate to all employees and volunteers the organization’s commitment to protect their consumer from abuse.
• Report essential abuse risk management information to the board of directors.

• High School Diploma or GED
• A minimum of four (4) years’ experience in wellness program development or related work.
  • Equivalent experience and education will be considered
• NCCA accredited group fitness or personal training certification required (examples are: ACSM, NSCA, NETA, or ACE Personal Training certification) or Specialty Exercise Certification (ex. CSCS, Wellness Coach, CrossFit, Pilates, Yoga, Zumba, etc.).
• Knowledge of exercise science, anatomy, kinesiology, and fitness program design.
• Experienced in and passionate about creating and fostering communities and relationship building through programs.
• Experience building a strong culture of hospitality through effective staff leadership and consistent member-centered service.
• Demonstrated experience in program and personnel development.
• Ability to effectively manage staff, programs, and department schedules.
• Strong oral, public speaking and written communication skills.
• Strong technology and digital wellness systems skills.
• Demonstrate initiative, effectively prioritize, and possess strong organizational skills.
• Builds meaningful relationships with individuals from diverse backgrounds, engaging youth, families, and community members in inclusive, mission-driven experiences.

Preferred

• Bachelor’s degree in related field such as Exercise Science, Kinesiology or Health Promotion preferred
• A minimum of one (1) year experience in wellness program development or related work.
• Experience conducting wellness consultations, fitness assessments, or exercise programming preferred.
• Experience supporting personal training programs, small group training, or wellness coaching preferred.
• Exercise is Medicine® credential or ability to obtain within established YMCA guidelines preferred.
• Multi-lingual desired but not required.
