Camp Greenville is an overnight camp established in 1912 that hosts boys and girls from throughout the region and the world for summer camps, retreats and specialty camps. You will get to experience what the great outdoors of Western North Carolina and South Carolina have to offer.

 

The Camp Admin & Communications Manager supports the work of YMCA Camp Greenville and the YMCA of Greenville, a leading nonprofit charitable organization committed to strengthening the community through youth development, healthy living, and social responsibility.

Under the direction of the Director of Camper Services & Communications, this position will support, coordinate and provide input with communications, marketing, and business office functions of camp by managing daily administrative tasks and ensuring exceptional customer service.

This position will also support summer camp operations while camp is in session. This position is primarily assigned to and supports Camp Greenville operations, including year-round preparation and seasonal programming.

Responsibilities

Administrative Support and Office Management

  • Provide daily, weekly, and seasonal administrative duties, including reporting, parent communication, and customer service tasks.
  • Support the team of Directors through various office management and reporting tasks.
  • Be present during office hours at Camp Greenville as assigned by the supervisor.

Communication & Outreach

  • Ensure exceptional customer service to camp families, staff, and visitors.
  • Responds to all members and community inquiries and complaints in a timely manner.
  • Develop and maintain communication for things like recruitment events, camp tours, Newsletters, inhouse open house family tours etc.; and develop and maintain relationships with summer staff and camper parents.
  • Follow all communication protocols, including office and desk work, timely message return, meeting deadlines for form submission, and appropriate phone, internet, and radio communication.
  • Handle confidential information in a private and professional manner.
  • Represent camp at special events and community outreach opportunities.

Camp Store and Marketing

  • Enhance the sustainability of the year-round camp store by optimizing online inventory setup, marketing, and order fulfillment.
  • Operate and maintain the store during summer camp and family weekends
  • Implement promotion of all Camp Greenville Programs, in conjunction with Branch/Association marketing and promotion plans
  • Ensure alignment with YMCA of Greenville and Y-USA branding, and Y-USA overnight Camp Branding communication/marketing plans, and overall strategy.
  • Responsible for the day-to-day scheduling and accountability of the camp store, bunk notes, parent communication, and office logistics.
  • Manages social media account maintenance, assists in social media post crafting & scheduling, contributes to graphic design of marketing materials, and regularly reviews backend metrics & best practices for continuous improvement of digital marketing & social media.
  • Assist in merchandise design, ordering, and management.
  • Recruit, hire, and onboard of summer staff including the store coordinators and media team

Budgeting and Fiscal Responsibilities

  • Work with the direct supervisor to develop and monitor  camp store revenue and camp store budget to meet fiscal objectives.

Operational Support and Safety

  • Work with the staff team for the smooth and safe operation of camp.
  • During the summer months, provide support and supervision for Seasonal Media and support staff including but not limited to performance evaluations, daily staff check-in, and managing the staff schedules
  • Responds to all members and community inquiries and complaints in a timely manner.
  • Participate in meetings, trainings, off-site committees to enhance overall camp programming.
  • Serve in the “Staff on Duty” role as assigned for weekends, stayover, summer evenings, etc.
  • Work non-traditional hours, including early mornings and evenings.
  • Maintain the physical ability to perform emergency procedures.

Non-Essential Functions

  • Maintains relationships in relevant professional organizations (ACA, YMCA)

Other Expectations

  • Adhere to policies related to boundaries with consumers.
  • Attend/complete required abuse risk management training
  • Adhere to procedures related to managing high-risk activities and supervising consumers.
  • Follow mandated reporting requirements.
  • Adhere to job specific abuse risk management responsibilities.
    • Maintenance Employees-ensure unused rooms and closets remain locked; routinely monitor high-risk locations (locker-rooms and bathrooms), etc.
    • Front Desk Personnel- ensure consumers are properly signed in and out, ensure only authorized adults are allowed in the facility, etc. 
  • Follow employees and volunteers screening requirements and use screening instruments to screen for abuse risk.
  • Provide employees and volunteers with ongoing supervision and training related to abuse risk.
  • Provide employees and volunteers with regular feedback regarding their boundaries with consumers.
  • Require employees and volunteers to adhere to policies and procedures related to abuse risk.
  • Respond quickly to policy and procedure violations using the organization’s progressive disciplinary procedures.
  • Respond seriously and confidentially to reports of suspicious and inappropriate behaviors.
  • Follow mandated reporting requirements.
  • Communicate to all employees and volunteers the organization’s commitment to protect their consumer from abuse.
  • Report essential abuse risk management information to the board of directors.

Qualifications

*Compensation will be determined commensurate qualifications and experience.*

  • Must be able to live on site, in camp-provided housing from mid-May to beginning of August, as well as all program weekends in the non-summer months.
  • Bachelor’s Degree or equivalent experience in a field compatible with the mission and work of the YMCA
  • One (1) year of experience in administrative tasks, communications and customer service
  • Six (6) months to one (1) year of overnight summer camping experience
  • Current certification or ability to complete CPR, 1st Aid, AED training
  • Valid driver’s license and ability to meet the minimum requirements of the YMCA insurance carrier
  • Professional experience working with varied groups including children, adolescents, college students, adults, parents, teachers
  • Must have good interpersonal, public relations and communications skills, including the ability to make oral presentations.
  • Must be able to effectively work with and motivate other staff and volunteers
  • Ability to respond to safety and emergency situations.
  • Incumbent must complete mandatory training of New Staff Orientation, BBP/Child Abuse Prevention and CPR/First Aid/AED training within 30 days of employment.

BENEFICIAL SKILLS AND EXPERIENCE:

  • Social media & Digital Marketing experience preferred
  • Experience with camp registration platforms and apps like Campminder, CampBrain, Campsite, etc. and/or customer management platforms preferred
  • Ability to speak two or more languages is preferred.
  • Microsoft Office skills preferred
